Documenting the damage the right way can make or break your claim. Use this checklist before you call your insurer.

Document Before You Clean Up

The single most common mistake homeowners make is cleaning up before documenting. Once the water is gone and the debris is hauled away, you've lost the evidence that proves the extent of your loss. Photograph and video everything first — the water line on the walls, soaked belongings, and the source of the damage.

Keep damaged items rather than throwing them out immediately, if it's safe to do so. An adjuster may want to see them, and a pile of ruined possessions tells the story far better than a description on a form.

Understand What Your Policy Covers

Not all water damage is treated the same way. Sudden, accidental damage — a burst pipe or an overflowing appliance — is typically covered by a standard homeowner's policy. Gradual damage from a long-ignored leak, or flooding from outside, often is not, and external flooding usually requires separate flood insurance.

Read your declarations page before you file so you know your deductible and any limits. Knowing the difference between mitigation (stopping further damage) and restoration (repairing it) also helps, because insurers expect you to take reasonable steps to prevent the loss from getting worse.

File Promptly and Keep Records

Report the claim as soon as you reasonably can. Most policies require prompt notice, and a fast filing also gets an adjuster out while the evidence is fresh. Keep a simple log of every call, the names of who you spoke with, and what was said.

Save receipts for everything related to the loss — emergency repairs, a hotel stay if your home is unlivable, and any equipment you rent. Many policies reimburse these costs, but only if you can document them.
